Privacy policy
How we look after your personal information.
Last updated: October 2026
Who we are
Vantom Village is a family-run business at Patchings Art Centre, Oxton Road, Calverton, Nottingham, NG14 6NU. We are the controller of the personal information described here. Contact us at reception@vantomvillage.com or on 0115 965 3479.
What we collect
- Enquiry and booking forms on this site: your name, email address, telephone number, the event or topic you are asking about, preferred dates, number of guests and any message you choose to write.
- Forms and bookings on other sites that we link to (for example Typeform booking forms, the Merchant of Venice reservation system, Airbnb and the Vantom Overdrive and Patchings Art Festival websites). These are run by other organisations and have their own privacy notices.
- Website visits: if you accept analytics cookies, Google Analytics records anonymous usage information such as pages viewed, device type and approximate location. If you decline, it is not switched on. We do not use advertising cookies. Our hosting provider may keep standard server logs (such as IP address and pages requested) for security and reliability.
How we use it
We use your details to reply to your enquiry, to take and manage bookings, to arrange viewings and calls, and to send you a confirmation. If you contact us, we will not add you to a marketing list without asking.
Our lawful bases are taking steps at your request before a booking (contract) and our legitimate interest in answering enquiries and running the business.
Who we share it with
Only with providers who help us handle your enquiry – for example our web hosting and email providers – and with the organisation you are booking through where relevant (for example the restaurant reservation system or Airbnb). We do not sell your information.
How long we keep it
Only as long as needed to deal with your enquiry and any resulting booking, and to meet legal and accounting obligations. After that it is deleted or securely archived.
Your rights
You can ask to see, correct, delete or restrict the use of your information, object to its use, or ask for a copy you can move elsewhere. Contact us using the details above. If you are unhappy with how we have handled your information you can complain to the Information Commissioner’s Office at ico.org.uk.
